Who we are:
Xaad Kíl Née is the Language Authority for northern Haida Gwaii. Xaad Kíl Née promotes the learning, speaking, and teaching of Xaad Kíl by facilitating intergenerational language transmission in Gaw Tlagée, Haida Gwaii. We are dedicated to preserving, creating, and sharing Xaad Kíl resources while upholding Yahgudang – Respect – in all our work. Our office is located in Gaw Tlagée and aim to serve all Haida citizens to provide meaningful language resources and opportunities to our communities. We are under the umbrella of Old Massett Village Council’s (OMVC) Education Department.
Position:
The Administrative Assistant provides high-level administrative and secretarial support to the Xaad Kil Née Team Lead.
This role is responsible for organizing correspondence, preparing meeting agendas, recording and distributing minutes, tracking language projects and financials, and coordinating community engagement activities and language-related events.
The successful candidate will be highly organized, adaptable, detail-oriented, and possess strong communication and financial tracking skills.
Reporting Relationship
The Administrative Assistant reports directly to the Team Lead, and works closely with Education Manager, Program Coordinator and Xaad Kil Née team.
Qualifications:
Minimum of 5 years Office Administration experience and/or a diploma in related field
Grade 12 graduation and/or a minimum of five years related work experience
Valid Class 5 Driver’s license and a clean driver abstract (or actively pursuing a license).
Knowledge, Skills, and Abilities:
Knowledge and understanding of Haida culture
Exceptional Administrative and Organizational Skills
Strong understanding of budgets and financial reports (general ledgers, income statements)
Strong written and interpersonal communications skills
Proficiency in Microsoft Office 365 applications (Word, Excel and powerpoint)
Ability to quickly adapt to evolving online applications (e.g., Teams, Doodle Poll, WordPress)
Ability to establish priorities and meet deadlines
Ability to maintain professionalism and confidentiality
Ability to work independently and make sound decisions

Primary Responsibilities
Maintain all Language Authority meeting minutes
Develop systems, internal reporting templates, document updates, calendars, tracking,contact lists, database to create efficiencies
Coordinate events such as language workshops, etc., and seeing to the logistics
Perform general clerical (photocopying, filing, emailing, and document management)
Track financials for all language projects
Maintain confidentiality on all matters related to the affairs of XKN and OMVC
Perform other duties as assigned
Adhere to the Old Massett Village Council Conditions of Employment
