Executive Assistant, Marine Planning

DESCRIPTION

Reporting to the Manager, the EA is responsible to coordinate and oversee office administrative duties, providing assistance and support in all aspects of program planning and delivery.  From budgeting and financial planning to tracking deliverables, the EA ensures compliance with reporting requirements.

 

KEY DUTIES & RESPONSIBILITIES

  • Ensures reports, data, etc are maintained filed and organized
  • Manages the calendar of the team and tracks reporting deadlines
  • Budget and finance assistance, tracks and manages in support of financial reports, understands multiple contribution agreements
  • Draft reports and briefing notes
  • Coordinate meetings
  • May supervise staff
  • Track and implement timelines and schedules
  • Maintains confidentiality

QUALIFICATIONS

  • Excellent written and verbal communication skills, including strong attention to detail
  • Good computer skills – Office 365
  • Excellent as part of a team with an effective collaborative work style
  • Some post-secondary is an asset with preference for office training, or an equivalent combination
  • Some financial experience is an asset
  • Class 5 Driver’s licence
